The Role: An opportunity has arisen for a Contracts Administrator to join a leading Oil and Gas Operator for a 12 month duration. The role requires the delivery of a consistently high standard of work against tight deadlines, assisting the Contracts Manager and other Team members as required in all facets of the position. Responsibilities include but may not be limited to: •Provide administrative support to the Foundation Contracts team (including travel arrangements, preparation of presentations/documents/reports, document management and maintenance of confidential files, timesheet approvals, maintaining annual leave register. •Assist Contracts Support Lead with Implementation Contract Ariba administration, owned contracts Ariba and general contract administration. •Maintenance of contract workspaces, create and make changes to Service Requests, monthly and ad hoc reporting. •Draft and submit contract correspondence for transmittal; draft contract variations, complete Contract Control Forms, obtain document numbers in McLaren, submit contract documents and forms to Document Control, maintenance of contract hardcopy files and electronic files. •Provide support to Contract Advisor with Contract Close Outs. Scope of work includes; Liaising with Contract Managers and Contract Administrators and maintaining excel spread sheets. •General correspondence, technical reports, professional presentations, weekly reports and meeting notes. •Coordinate office facilities; handling of general enquiries, arrange catering bookings, room and equipment bookings, computer and telephone / LAN connection, manage and coordinate inductions for new hires, IT, office moves, visitor passes. •Position requires careful coordination of processes and procedures, a remote location, as well as coordination with the EPCM contractors staff, processes and procedures. •Processing incoming / outgoing correspondence and non-technical documentation between Company and Contractor and third parties. •Management of document registers •Perform Document Control function using Companys DMS system and Documentum •Manage, co-ordinate and maintain Company Team meetings and required reporting Essential Skills / Qualifications: •Education High school (year 12) •Experience Min 5 years, prefer Owner / Oil & Gas background, contracts exposure desirable •Technical/Specialist Skills MS office suite, technical writing desirable •System Expertise Ariba highly desirable •Personal Attributes Flexible, proactive, persistent, presentation & communication skills •High standards of communication and presentation
